APPLICANTS: NAVIGATING YOUR FINAL AWARDS NOTIFICATION REPORT
Each applicant for the Learning Spaces-Student Computer Fees awards process has their own folder in UBox. The URL to access that folder is supplied to applicants via personalized email.
In the folder are the following items:
- Final Award Recommendations Notification Report, as a PDF
- Final Award Recommendations, as an Excel spreadsheet
- Original Proposal (marked as "submitted"), as updated or submitted by the applicant
- Folder containing One-Page Profiles of SCLU: student computer labs managed by the applicant
- Folder containing a proposal's supporting documents and attachments, as supplied by the applicant
DON'T UPDATE SPREADSHEET LINKS:
When the Excel Spreadsheet version of the award recommendations is first opened (item 2 above), a challenge window asks if you wish to update links embedded in the document. Just answer DON'T UPDATE, and the spreadsheet will open.
REVEALING HIDDEN ROWS IN PROJECTS:
The Excel Spreadsheet version of the award recommendations (item 2 above) has a single-tab formatting, as opposed to the multi-tab formatting in your original proposal spreadsheet. When first opened, the award recommendations spreadsheet is presented in a "SUMMARY" mode, only showing the individual project names and their associated awards. To view each project in "DETAIL" mode that reveals the line items and any clarifications and comments made during the review process, you have two options:
👉 ALL AT ONCE:
If you prefer to reveal ALL project line item details at once, refer to the two square icons in the far upper left of a worksheet (just to the left of the applicant's name).
➤ The "2" icon, when clicked, will open up all hidden rows in the worksheet at once.
➤ The "1" icon, when clicked, will close all revealed rows that were hidden in the worksheet at once.
👉 ONE PROJECT AT A TIME:
Hidden rows contain the line item details for a project. You can reveal these details, one project at a time, by clicking the plus sign icon to the far left of a project area.
Once a project's line item details are revealed, they can be hidden again by clicking the negative sign icon to the far left of a project area.
REVEALING THE PROPOSAL ABSTRACT AND OTHER INFO:
On row 15, before the list of actual projects, you have the ability to reveal and review the abstract for a proposal, as well as a running commentary on any updates made to the original proposal since being submitted on January 17, 2020.
Click the plus sign icon on the far left to reveal the additional information:
Click the negative sign icon on the far left to hide the abstract and proposal updates information.
PROJECTS ARE HIGHLIGHTED IN YELLOW:
Project names and awards are highlighted in yellow. The spreadsheet actually accommodates up to 40 projects.
Along the top two rows of a proposal's worksheet is the name of the applicant as well as grand totals for all project requests in that proposal.
If your final award totals for the proposal or for individual projects are not visible, just scroll the spreadsheet to the far right to find the dollar figures with a white background (columns Q thru W).
In this top row, you will notice that Columns S+T+U, when combined, equal your final award total in Column W. When a project was designated as an A/V Installation Project to be commissioned to Teaching & Learning Technologies, the awarded amount is tracked in an "escrow" account (Column T). This allows TLT to directly draw upon those funds when the design/build activities begin (and simplifies multiple ledger transfers between applicants and TLT).
The funds that will be directly transferred to the college/library/center are seen in Column S.
If there are any conditions that have placed on the selection and purchase of an item, funding may have been flagged as "Conditional Funding" and placed in Escrow (see Column U). After collaboration between involved parties, the funding is released and transferred to the applicant.
If an applicant has designated matching funds toward a project or line item (Column J), then TLT will request a transfer of those matching funds into the escrow account in order to pay for the entire costs for a project.
If an applicant indicated that a project or line item was NOT dedicated 100% for student benefit, then the portion that is NOT FOR STUDENT BENEFIT will be requested by TLT to be transferred into escrow, so the total costs of designing and building an A/V installation can be drawn upon.
In rows 4-11 are summary counts of the number of projects in a proposal, as well as some other funding status indicators.
