LEAD CONTACTS: Applicants update their list of lead contacts for the upcoming proposals.

IT PRO MEETING: Presentation about Spring 2019 funding priorities and proposal process.

ACCESS TO PROPOSAL FORM: Provide each applicant with the individual Spring 2019 proposal form.

OPEN APPLICATION PERIOD: Applicants have from Dec 5, 2018 until the deadline of Jan 18, 2019 to complete their application and proposals.

MAKE APPOINTMENTS FOR APPLICANT INTERVIEWS IN LATE JANUARY: The Task Force for the Teaching & Learning Portfolio will conduct mandatory interviews with each applicant to clarify or enhance a proposal. Even though we call applicants in early December to schedule interviews, these interviews won't take place until the period of Jan 28 - Feb 7, 2019.

APPLICATION PERIOD CLOSES: All proposals must be submitted by 5:00pm, Friday, Jan 18, 2019.

FINALIZED PROPOSALS AVAILABLE TO VIEW: An applicant's finalized proposal is posted to an individual applicant folder in box.utah.edu. The Teaching & Learning Portfolio, its Task Force, and the specified lead contacts for an applicant are the only ones with access privileges to an individual proposal, attachments, and supporting documents. Other applicants cannot view another applicant's proposal.

APPLICANT INTERVIEWS: The Task Force for the Teaching & Learning Portfolio will conduct mandatory interviews with each applicant to clarify or enhance a proposal. Interviews were scheduled in early December 2018.
Feb 26 - 28, 2019
FUNDING DELIBERATIONS: The Teaching & Learning Portfolio convenes for three days to review proposals, supporting documents, and accumulated notes for the applications. Funding recommendations are made.
Mar 04 - Mar 12, 2019
PREPARE FUNDING NOTIFICATIONS: Based on the deliberations of the Teaching & Learning Portfolio, the recommended funding notifications for each applicant are assembled for delivery.

EMAIL NOTIFICATIONS FOR FUNDING RECOMMENDATIONS: Recommended funding notifications are emailed to each applicant.
Mar 15, 2019
UNIVERSITY BUDGET COORDINATION: Recommended funding notifications are forwarded to the University's budgeting office for further processing in the regular budget work for FY2020.
Mar 18 - May 18, 2019
TLT INSTALLATION ESCROW COORDINATION: During the application process, applicants indicated which of their projects and line items were likely to be contracted through Teaching & Learning Technologies (TLT) for equipment purchase and installation. During the March-April-May time period, TLT coordinates with applicants to confirm A/V needs, cost estimates, and to begin the scheduling of installations for the coming fiscal year.

POST-MORTEM PROCESS EVALUATION: The Teaching & Learning Portfolio conducts internal post-mortem discussions about the Spring 2019 LS-SCF awards process. Recommendations for changes in procedures will be forwarded to the University governing body SITC: Strategic Information Technology Committee.
Jul 01, 2019
AWARDS TRANSFERRED TO APPLICANTS: Beginning in late June and continuing through July 2019, awards are transferred to individual applicants for use in FY2020.
